Our Privacy Notice

This Privacy Notice is to inform you what to expect when Linda Bower Landbased Training (known as Landbased Training from hereon in) collects person information. We recognise that anyone accessing our services has the right to be informed how we collect, store, share and destroy any personal data. It applies to information we collect about:

* Contact details and personal information from general enquiries relating to any training courses we provide, be this contact be made via telephone, email, text message, our website or Facebook page or any other social media applications.

* Employers and Candidates who purchase our services, such as attending our training courses, or subscribe to any publications from us, including general emails or social media posts.

* Instructors who deliver our training courses

* Passing on of personal information and photographs to third parties, such as LANTRA for Lantra Skills Cards and certificates

* Complainants and other individuals in relation to a data protection or freedom of information complaint or enquiry

Direct Contact and Enquiries

Information gathered will always only be relevant, such as full name, contact details (including address, phone numbers and email addresses) as well as dates of birth when required. This information is required for booking a place on a training course and for the issuing of certificates.

Telephone: When you call Landbased Training we will only ask for specific personal information which is required in order for us to make contact with you again to confirm course details, and for the issuing of training certificates and invoices.  We will not share this information unless required with organisations such as Lantra for the issuing of certificates. No telephone conversations are recorded; however Landbased Training does have a voicemail facility where people are encouraged to leave their contact details. These messages are only listened to by Landbased Training and will not be shared with any third party.

Email: Landbased Training uses Microsoft Outlook and Google Mail for our email addresses; the Outlook account was set up by Linten Technology and Landbased Training do request support from Linten Technology with anti-virus programmes etc. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law. At the footer of our emails Landbased Training will always issue the following disclaimer:

“Warning: This e-mail and any files transmitted with it are confidential and solely for the use of the intended recipient. If you receive this in error, please do not disclose any information to anyone, notify the sender at the above address and destroy all copies. Although we have endeavoured to ensure that this e-mail and any attachments are virus free we would advise you to take any necessary steps to ensure that they are virus free”.

Text/other social media applications: If you send us a private or direct message via text message or another social media application, e.g., WhatsApp, the message will be stored by Landbased Training only for the timescale in which the information is required and will then be deleted. Some personal information from these messages may be saved and used by Landbased Training, such as it being saved within your main contact record. It will not be shared with any other organisations.

Visitors to our websites: Our website www.landbasedtraining.com was set up by Linten Technology who may on our behalf and only at our request collect standard internet log information and details of visitor behaviour patterns. We do not make and do not allow any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it. This Privacy Notice does not cover any links within the Landbased Training website; we encourage you to read the privacy statements on any other websites you visit.

Visitors and followers of our Facebook Page: we use our media pages for sharing, at our discretion,  agricultural articles of interest and for advertising our future courses and to also upload images from courses which have taken place. Such material includes photographs of instructors and candidates. At the beginning of any course where images may be taken, the instructor/s and candidates are asked to sign our ‘Social Media Policy’ if they agree for their photographs and names to be used on our social media pages, including the use of ‘tagging’ individuals from social media images. Landbased Training will not be held responsible should any posts be shared; if a person objects to the sharing of their photograph or any other reference made to them on our Facebook page then Landbased Training suggests that this issue is raised directly with the individual responsible.

People who use Landbased Training Services
Landbased Training offers a variety of bespoke training courses which may be delivered ‘in-house’ to one employer where only their own employees attend, or at another venue when candidates may be employed by different employers. Landbased Training have to hold the details of the employers and candidates who have requested the service in order to provide it. However, we only use these details to provide the service the person has requested and for other closely related purposes, such as for invoicing purposes and the issuing of certificates. When people share their personal data in order to access our services, it is securely stored by Landbased Training.

Instructors who deliver our training courses:
In order for Landbased Training to provide our service we have to pass on the relevant information of an Employer if the training venue is ‘in-house’; the information passed onto our instructors will be the employer/organisation name, address and main contact number. Instructors may also require candidate’s personal details, such as full name, address, contact numbers and dates of birth for training and assessment purposes as well as for the issuing of some certificates.

Access to your personal information
Landbased Training tries to be as open as we can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘Subject Access Request’ under the Data Protection Act 1998. Please request a ‘Subject Access Request Form’ from Landbased Training and submit this either via email or by post.

 If we do hold information about you we will:
·         give you a description of it;
·         tell you why we are holding it;
·         tell you who it could be disclosed to; and
·         let you have a copy of the information in an intelligible form.

Should a person no longer wish for us to hold any information on them and want any personal data which Landbased Training holds on them to be destroyed, then they should request this in writing and Landbased Training will ensure that all of their personal data is securely destroyed. Confirmation that this has been carried out will be put in writing by Landbased Training to the person within 30 days from the date of their request.

Landbased Training tries to meet the highest standards when collecting and using personal information and for this reason, we take any concerns or complaints about this very seriously. We ask and encourage people to bring it to our attention if they think that our collection or the use of information is misleading, unfair or inappropriate. Landbased Training always welcomes any suggestions for improving our procedures.

Disclosure of Personal Information
In many circumstances we will not disclose personal data without consent. However when we investigate a complaint, for example, we will need to share personal information with the organisation concerned and with other relevant bodies. Please also refer to our ‘Complaints, Compliments and Comments Policy’.

When we receive a complaint from a person we make up a file containing the details of the complaint. This normally contains the identity of the complainant and any other individuals involved in the complaint and these records may be saved electronically or any hard copy documents will be securely stored by Landbased Training. We will keep personal information contained in a complainant’s file in line with our Data Retention Policy; this means that information relating to a complaint will be saved in a secure environment and access to it will be restricted according to the ‘need to know’ principle and the file will be retained for two years from the closure of the complaint.
